Facilities Coordinator
We are looking to appoint a Facilities Coordinator to join the estate's Building Department Team.

Job type:  Full Time. 40 hours per week. Monday - Friday, 8am - 4.30pm.

A Facilities Coordinator is required to support a small Building Maintenance team working across a range of buildings on and around the estate. The role requires a dependable, proactive individual who can communicate clearly, be organised and support day to day operational demands in a practical environment. The successful candidate will be expected to take ownership of issues, work collaboratively with others, and maintain a positive, flexible approach when responding to competing priorities.

  • Supporting the Facilities Manager in the delivery of service across all areas:
    Provide reliable day-to-day support across buildings, services and operational activities. Assist with coordinating routine tasks, responding to requests, liaising with colleagues and contractors, and helping ensure that work is completed safely, efficiently and to the required standard.
     
  • Biomass management:
    Support the operation and monitoring of biomass systems, including routine checks, fuel level monitoring, reporting faults or performance issues, and helping to ensure heating provision remains reliable. Maintain accurate records where required and escalate concerns promptly to minimise disruption. 
     
  • Meter readings:
    Take and record utility meter readings accurately and consistently across relevant buildings or sites. Identify unusual consumption patterns, report discrepancies or concerns, and ensure records are maintained in a clear format to support monitoring, billing, budgeting and energy management.
     
  • Fire alarm testing and reporting of faults:
    Carry out scheduled fire alarm tests across buildings covered by the department, ensuring tests are completed in line with agreed procedures. Record outcomes, report faults promptly, follow up where required, and support the maintenance of fire safety compliance records.
     
  • Vehicle inspection and occasional cleaning:
    Undertake routine vehicle checks to confirm that department vehicles are safe, clean and ready for use. Report defects, damage or maintenance requirements, ensure inspection records are completed, and assist with occasional cleaning to maintain a professional and serviceable fleet.  

Skills required include:

  • Strong communication skills:
    Able to communicate clearly and professionally with colleagues, contractors, visitors and stakeholders, both verbally and in writing. Confident in passing on accurate information, asking the right questions and keeping others updated when issues arise. 

  • IT skills:
    Competent in using standard IT systems, including email, Microsoft Office applications and digital record-keeping tools. Able to update documents, maintain accurate records, manage information efficiently and learn new systems where required. 

  • Organisational skills:
    Able to plan workloads, keep track of tasks, maintain orderly records and follow up actions through to completion. Comfortable working in a busy environment where priorities may change during the day. 

  • Initiative and problem ownership:
    Willing to take responsibility for issues, investigate problems, identify practical solutions and see matters through to a satisfactory conclusion rather than passing them on unnecessarily. 

  • Team player:
    Works well with others, supports colleagues when needed and contributes positively to the wider team. Able to build constructive working relationships and share information openly to help achieve common objectives. 

  • Ability to manage and prioritise multiple issues:
    Capable of balancing competing demands, assessing urgency and importance, and responding effectively to day-to-day tasks alongside unexpected issues or requests. 

  • Practical approach:
    Able to apply common sense and sound judgement to operational issues, focusing on workable solutions that are safe, realistic and proportionate to the situation. 

  • Can-do attitude:
    Positive, flexible and willing to muck in when required to help get jobs completed. Prepared to support practical tasks and adapt to changing circumstances without losing focus on the result. 

  • Training:
    Relevant training will be provided to support the successful candidate in carrying out the duties safely, confidently and to the required standard.
