This is a maternity cover position: June 2026 – June 2027.
21 hours per week, there is flexibility to whether these are worked over 3 days or 4/5Â shorter days (Monday to Friday), to be set by agreement with the Head of Collections.
The Portland Collection at Welbeck Abbey is one of the leading collections of fine and
decorative arts still in private ownership in England. As well as being displayed in the historic rooms at Welbeck Abbey, a selection of objects from the historic collection is also shown in a purpose-built museum-gallery. The collection includes a significant historic archive of extensive estate papers and maps.
The Collection Documentation Assistant will be responsible for supporting the curatorial team with the administration of the collection. This will include adding photographs to the database where needed, keeping object movement records up to date and setting up standardized condition reporting and treatment forms on a brand-new database system, launched early 2026. There are also monthly insurance reports to raise and research requests to organise.
· Editing and improving collections information for The Portland Collection
· Adding photographs where they are missing on the collection database
· Basic cataloguing of collection items and archival material including maps and
architectural drawings
· Retrieving and filing material from the working Welbeck Estates Company Limited
archives
· Preparation of object movement forms
· Replying to research requests
· Assisting the Head of Collections with other areas of collections management as
requested
The successful candidate should have:
· A degree or equivalent in history of art, history or heritage/museum studies
· General knowledge and interest in art, history, and historical properties
· Meticulous attention to detail and methodical approach to work
· Good organisation with strong time management skills
· Confidence to manage own time and use initiative · Ability to work well within a small, friendly and committed team · Proactivity and the ability to maintain concentration even when dealing with repetitive tasks · Excellent communication skills · Experience with data management and cataloguing within a heritage, museum or gallery setting (desirable) · Experience with collection management systems or similar databases (desirable)
· Excellent IT and administrative skills · Discretion when working on a family-run Estate.
